Common Questions about CMTS

Question: Can a CMTS (single user license copy) be purchased if I only want to have one user connected concurrently, but want other (about 10) users to have limited (view) access?

Question: Can CMTS handle multi-users accessing the same database? If so, how do configure CMTS to be multi-user on a LAN?
  Answer: Yes, all of our software is developed to support multi-users on a network. To use Contract Management Tracking System in a multi-user environment refer to the CMTS User Manual.

 
Question: Can my CMTS software be modified to take on multiple expiration dates. Many of our contracts have insurance certificates that expire on a different date from the contract expire date.
  Answer: Our new version, Contract Web, will handle this in the "task" section. You can add multiple, date-driven "tasks" or "milestones" in our Contract Web System. 

 
Question: Do you track payments associated with the contracts and POs? I need to track the life of the contract from negotiation phase to term of all payments.
  Answer: There is a transaction module included in the cleint version of CMTS. It tracks income and expenses. Note: our transaction module is not a full financial or accounting system. It simply tracks inflows (income) and outflows (expenses) and keeps a running total.

Question: How can I set up a link to e-mail a person or persons within the organization when a contract deadline is near without turning on the software. Example.. I am out the country for the month and I don't look into my CMTS system. Can I set something up where it will automatically e-mail my subordinates when the time comes?
  Answer: Our web-based contract management software, Contract Web, is designed to do this. Once we set your service up it will e-mail the contract notifications out automatically. Question: How can we create custom reports for CMTS using MS Access

Question: How long does it take to receive this product after it is ordered
  Answer: about 3-5 business days

 
Question: Is a certain type of scanner which you recommend?
  Answer: We do not have any preference. We implement our systems using HP ScanJet's, Brother Multi-Function Machines, UMAX, Fijitsu, etc. We do prefer that your scanning software support an export or "save as" TIFF format and a Mult-Page TIFF Format. Check with the scanner manufacturer first. We have been very successful using PaperPort scanning software by ScanSoft (http://www.scansoft.com).

 
Question: Is there security so that we could restrict viewing of certain contracts, for example: IT staff can see their contracts but could not see property mgmt contracts and vice-versa.
  Answer: For added security we recommend our Contract Web product.  Contract Web enables your employees & users to manage their contract individually. Multiple users can create and manage Contracts from various locations (all you need is Internet connection). Each employee has 'view only' rights to Contract Categories, Contract Status, Vendors, Customers, Locations, Departments, & Employees. Question: What are the data elements (minimum set) that need to be captured from any contract to make a contract tracking system work for a firm?
  Answer: We recommend that you enter at least the following data fields: 1. Employee responsible 2. Vendor 3. Contract Name/Title 4. Start Date 5. End Date 6. Days to be notified before the end of the contract. Question: What kind of database does your application use? What about your web version?
  Answer: We offer two versions of our Contract Management Software:
1. CMTS is a client/server version. It uses MS Access as the database
2. Contract Web is our enterprise, web-enabled contract management system. It uses MS SQL Server.

 
Question: Why does the Contract System prompt me for a password even after I purchased it?
  Answer: Since we stand behind our products, we enable our customers to download a 30-day trial version of our software. The trial version is the full version with sample records entered. After 30 days, the system will prompt the user for a password. When the software is purchase we will assign you a password and you can continue to use the version you downloaded from the web.
